🎯 Purpose of the Role

The Supply Chain Administrator will support procurement and logistics operations, ensuring timely and compliant sourcing, purchasing, inventory management, and supplier coordination. This role is critical in achieving seamless operational processes while maintaining adherence to internal policies and international supply chain standards.


🛠️ Key Responsibilities

📌 Procurement Planning & Execution

  • Facilitate annual procurement planning sessions with departments.
  • Consolidate and report procurement plans.
  • Advise stakeholders on procurement best practices and item catalog usage.
  • Support tendering processes (RFPs/RFQs) and issue purchase orders (POs).

📌 Supplier & Contract Management

  • Maintain and manage master data (supplier, contract, and item registers).
  • Track contract performance and supplier relationships.
  • Collect and analyze supplier feedback and performance reports.

📌 Payment & Documentation

  • Process and follow up on supplier payments.
  • Resolve supplier inquiries in collaboration with Finance and Shared Services.
  • Ensure all procurement documentation is complete and well-archived.

📌 Inventory & Store Management

  • Monitor stock levels to prevent over/understocking.
  • Oversee goods receiving, issuing, and stock reconciliation.
  • Ensure storage facility compliance, cleanliness, and safety.

📌 Reporting & Analysis

  • Generate weekly and monthly procurement status updates.
  • Perform daily reconciliation of procurement transactions.
  • Support departmental performance reporting (KPIs and satisfaction scores).

📌 Office & Admin Support

  • Maintain office supply levels and meeting logistics.
  • Support departmental correspondence and document handling.
  • Facilitate hotel bookings, asset disposal processes, and visitor management.


🎓 Qualifications & Experience

✔️ Minimum Requirements

  • Bachelor’s Degree in Procurement & Logistics, Supply Chain Management, or related field.
  • At least 2 years of relevant experience in procurement or logistics.
  • CPSP Certification (Certified Procurement and Supplies Professional).

✔️ Preferred Skills

  • Proficiency in Microsoft Word, Excel, PowerPoint, and internet navigation.
  • Strong organizational, communication, and analytical skills.
  • Knowledge of contract management, legal compliance, and procurement reporting.
  • Ability to manage stakeholder relationships and cross-functional collaboration.


🌐 Work Environment & Travel

  • Based in Arusha, with minimal travel (up to 5%) required both locally and internationally.

  • Procurement Committee: Daily advisory and compliance communication.
  • User Departments: Daily support on procurement policies and execution.
